None of us had likely prepared in advance for the situation we’ve found ourselves in for the past few weeks. We don’t have a contingency plan lying in a drawer. Here at AITOM, we see a new opportunity emerging. We’re standing at the dawn of a significant change. Perhaps towards greater digitalisation. Perhaps towards new issues that people and businesses will need to address. However, no one knows that yet, and what matters right now is how to organise the coming weeks. We’re here to offer you some inspiration on how we’re approaching this. During the first few days of the state of emergency, a few simple things have proven useful for us at the agency, and we’d like to share them with you.

We rely on common sense and are used to tackling things practically. That’s why it makes sense to us to take a step-by-step approach to finding out what will work in this new situation.

What is most important right now?

We are not cancelling any meetings or workshops – neither with clients nor amongst ourselves. The atmosphere may subconsciously tempt us to slow down, but we believe the time has come to really get stuck into our many tasks. Wherever possible, we will use digital tools to connect comfortably with anyone and continue working on the projects we are involved in. We’ll help clients who aren’t so familiar with video calls or document sharing. Together, we’ll find simple tools and guide them through remote project management.

High-quality technology is a top priority. Throughout the day, we use technological tools that have proven their worth to us in the past. We have chosen those that allow us to see and hear each other perfectly and which give us the feeling that ‘we are together’. We have introduced regular video meetings in our teams at 10:00 and 15:45 every day. We conduct remote consultations with clients and can successfully deliver new projects with them from start to finish

We prefer to use these two devices:

The Logitech Connect conference camera with speaker and microphone. A slightly more expensive combination of speaker, microphone and projector. It can capture high-quality sound from a large space, which helps everyone stay focused and work effectively. From the clients’ perspective, this is a very convenient solution, allowing us to meet regularly without having to travel.

The Logitech Mocile Speakerphone, a device for making calls without a camera. A handy tool for calls with people outside the office, which we can place on any desk in the company, connect via Bluetooth, and start chatting with a colleague or client in another location.

Both of these tools have helped us get used to remote communication as a normal part of a digital agency’s work. Thanks to the quality of the picture and sound, this opens up a whole host of new possibilities for collaboration.

We’re starting to work with clients to identify what needs to be addressed right now. As well as completing ongoing projects, the new situation is motivating us to consider how we can use this exceptional situation to the benefit of specific clients. In a way that leads to their future prosperity. Create a new career website? Redesign the existing site? Take a holistic look at the marketing strategy and find new approaches for it? Every company can use the coming weeks to its advantage in different ways. To explore how best to prepare for the moment when the state of emergency is lifted. For then will come the moment when the differences become apparent. Between those who sat idly by and those who used the time to prepare for new steps. The difference could then be enormous.

We will continue to share with you how we are working in a situation that none of us has ever experienced before. The coming days will certainly bring interesting experiences; after all… we in the digital world are somewhat used to rapid change.
